Understanding Your Funnel Analytics
When you open your main dashboard, you'll see all of your current positions, and next to each one is a funnel visualization. This funnel shows you the conversion at each stage of the candidate journey – from people viewing the welcome page all the way to completing the interview.
We count each person only once to give you accurate metrics. There might be a small margin of error in some technical edge cases, but it's not significant. You can also see the drop-off for each individual question, which helps you understand exactly where candidates are abandoning the process. If you notice high drop-off rates at certain points, you might want to restructure those questions to improve conversion.
Step 1: View Your Complete Candidate Pipeline
To look at your complete candidate pipeline, simply click on any particular position. It's pretty straightforward – you'll see all the stages of your hiring process displayed clearly, and you can navigate through them easily.
You'll also see candidate compatibility scores right away. Sort candidates by clicking on the score column, which allows you to focus on the most suitable candidates first. This is especially helpful when you're dealing with high application volumes.
Step 2: Customize Your Status Pipeline
Want to customize your hiring statuses? Go to Statuses in your settings and work with them however you like.
We provide several system statuses that you can't change: Qualification, New, and Archived. These are fixed to maintain consistency across the platform. However, all the statuses in between can be customized to match your specific hiring process. You can rename them or adjust them to fit your workflow.
Turning Statuses Off
If you don't want to use a particular status (like "Declined"), click the three dots next to it, turn off Visible, click Update, and it's gone from your pipeline.
Renaming Statuses
To rename an existing status, click the three dots, enter the new name, click Update, and you're done. It's that simple.
Step 3: Set Up Automated Email Notifications
Here's where 1WayInterview really saves you time: automated candidate notifications. Moving candidates through your hiring pipeline isn't the only purpose of statuses – they also trigger automated emails.
When you configure notifications for specific statuses, candidates automatically receive an email when you move them to that status. Navigate to Notifications and you'll see all your statuses listed. For each one, you can enable or disable candidate notifications.
Customizing Notification Templates
Open a specific status template to see the exact email message that candidates will receive. For example, if you click the three dots next to "Skipped" status, you'll see the template for the email that skipped candidates receive.
You can customize this message however you like. Just update the email text, click Update Template, and it's saved. For statuses like "In-Person Interview," you can include a Calendly link or meeting details right in the notification template.
This feature is incredibly powerful. It requires no manual emailing, no copying and pasting, and ensures no candidates fall through the cracks because you forgot to follow up. The automation keeps your hiring process moving smoothly while maintaining professional communication with every candidate.
Step 4: Review and Update Candidate Scores
Initially, after candidates apply, you'll see their compatibility scores based on how AI evaluated their responses (if you're using AI Check). But here's what's important: you can always change these scores.
To manually review any candidate, click on their profile and you'll see their actual responses. Review their answers and adjust the AI scoring if needed. You can mark individual answers as Incorrect, Acceptable, or Correct. Then click Save Changes and the candidate's score updates immediately.
When you update a candidate's score, the compatibility score recalculates automatically, and your colleagues will see the updated score right away. This ensures everyone on your team is working with the most accurate assessment.
Step 5: Filter and Move Candidates Through Your Pipeline
Initially, all candidates will be in "New" status, sorted by compatibility score that you've assigned. Since we all have limited time to focus on candidate screening, we unfortunately can't research every applicant in detail. Some of our customers get hundreds of candidates each week for one recruiter, and it's just not humanly possible to give everyone the same level of attention.

Bulk Status Updates
If you open a candidate profile and see they didn't answer any questions properly or gave completely irrelevant answers, you can quickly take action on multiple candidates at once. Sort all candidates by rating, bulk select all the ones under your desired score threshold or those who are clearly unsuitable, and bulk update their status.
When you do this, all selected candidates are moved to the new status immediately. This keeps your active pipeline clean and focused on viable candidates, allowing you to spend your time where it matters most.
